This Privacy Policy explains how KOHUDIS LLC, doing business as KOHUDIS Fragrance (“KOHUDIS,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information when you visit scentrefillhub.com, create an account, place an order, request support, use our live chat, or otherwise interact with us.
Information We Collect
Depending on how you use the website, we may collect:
- Contact and account information: name, email address, phone number, account login information, billing address, and shipping address.
- Order and transaction information: products, quantities, prices, discounts, payment status, shipping method, tracking number, returns, refunds, and support history. We do not store your full payment card number or CVV on our website.
- Communications: emails, forms, reviews, wholesale inquiries, live-chat messages, AI-assistant conversations, and information you voluntarily provide to customer support.
- Website and device activity: pages viewed, searches, clicks, scrolling, cart activity, referring pages, approximate location derived from IP address, browser, device, cookie identifiers, and similar technical information.
- Marketing preferences: subscriptions, consent choices, advertising interactions, and unsubscribe requests.
How We Use Information
We use personal information to:
- operate the website, accounts, cart, checkout, and customer-support features;
- process orders, payments, refunds, returns, fraud checks, and accounting records;
- fulfill and track shipments from our Kansas warehouse or, when applicable, our Shenzhen factory;
- send order confirmations, shipping and delivery updates, service messages, review follow-ups, and authorized marketing communications;
- answer product, order, wholesale, custom-fragrance, and after-sales questions;
- measure advertising and website performance, improve product discovery and checkout, and prevent spam, fraud, abuse, and security incidents; and
- comply with legal, tax, safety, carrier, and regulatory requirements.
WooCommerce, Accounts, and Orders
Our store uses WordPress and WooCommerce to manage products, accounts, carts, orders, coupons, inventory, checkout, and customer records. If you create an account or place an order, information required to provide those services is stored in our ecommerce system and shared only as described in this policy.
Payments
Payments are processed by the third-party payment provider displayed at checkout. The available provider may change as we update our checkout. Payment providers receive the information needed to authorize, settle, prevent fraud, and refund transactions under their own privacy and security policies. KOHUDIS does not store full payment card numbers or CVV codes on scentrefillhub.com.
Shipping, Tracking, and Fulfillment
We share the information needed to deliver an order with our warehouse, fulfillment team, and eligible carriers, including USPS or another carrier shown for the shipment. This may include the recipient name, delivery address, contact details when required, package information, and tracking number. Our USPS delivery-status synchronization sends USPS the tracking number needed to check shipment status; it does not send the buyer’s password or payment card information.
At checkout, before you place an order, the U.S. shipping address you enter (street, apartment or suite, city, state and ZIP code) may be sent to the U.S. Postal Service Addresses API to check it against USPS address records. If USPS returns a different standardized address, we show both versions and you choose which one to use. Your name, email, phone number and payment details are not sent for this check. To avoid repeat lookups, the USPS result for an address may be kept on our server for up to 7 days.
U.S. orders are generally fulfilled from Kansas. International, wholesale, private-label, and custom projects may involve our team or service providers in Shenzhen and may require cross-border processing for production, customs, or delivery.
Live Chat and Customer Support
Our website uses KOHUDIS Support for prepared automated answers and human assistance. You may ask a question without entering an email address. We store the messages you send, their timestamps, a page path or category where the conversation started, and an email address only if you choose to provide one for follow-up. An essential browser cookie helps you return to your conversation.
This version uses prepared answers and our store catalogue. It does not automatically send your conversation to an external AI service. Questions that need personal assistance are transferred to our support inbox. If our staff use an external writing assistant, they must first remove personal information and review the draft before replying.
Chat records become eligible for deletion after 30 days without activity and are removed by scheduled cleanup. Separate website backups may retain older copies under their backup retention process. Contact zero2025321@gmail.com for access or deletion requests; we may need to verify your request.
Do not submit passwords, full payment card numbers, CVV codes, government identification numbers or other unnecessary sensitive information through chat. Conversations previously handled by Tidio may remain in our historical support records and are also subject to Tidio’s Privacy Policy.
Analytics, Advertising, and Experience Tools
We use Google Analytics and Google Ads to understand visits, measure non-sensitive ecommerce and advertising events, attribute traffic, and improve campaigns. Google may process cookie identifiers, device and browser information, approximate location, page activity, and advertising interactions according to Google’s Privacy Policy.
We may also use Microsoft Clarity to understand how visitors interact with pages through measures such as clicks, scrolling, navigation, device information, and session-replay or heatmap features. We do not intentionally use analytics or experience tools to collect passwords or full payment card details. Microsoft processes information under the Microsoft Privacy Statement.
First-party visit and shopping-activity counts
We use a first-party tool to count distinct network addresses, product views, accepted cart additions, checkout visits, and successful wholesale-form submissions. Our server converts the network address into a keyed pseudonymous identifier; this measurement database does not store the original address. Shared networks may represent several people. This tool does not set a persistent visitor identifier or send its network-address identifiers to Google Analytics. Detailed records use a rolling 48-hour reporting window and are removed by regular cleanup at least hourly during normal operation. Summarized counts without visitor identifiers are retained for 90 days. We exclude identified automated and internal traffic and honor Do Not Track, Global Privacy Control, and the choice below for this tool. Your choice is stored in a preference cookie for up to one year; it does not contain a visitor identifier. Hosting and security logs are separate from this measurement database.
Optional visit counting
You can turn off our first-party visit and shopping-activity counts for this browser. This choice does not change essential shopping functions or the separate settings of other tools.
Order source (how you first found us)
When you first arrive on our website from another site, a search engine, an ad or a campaign link, we store a first-party cookie (koh_ft) for up to 90 days. It records only the page you landed on, the referring website name, campaign tags in the link (such as utm_source) and which type of ad click brought you (for example, a Google or Meta ad), not the ad click identifier itself. If you place an order, this information is saved with the order so we can understand which channels bring customers. It does not contain your name, email address or payment details, and it is not shared with advertising platforms. It is not set if you decline cookies in our cookie notice. After checkout we may also ask, optionally, how you heard about us; your answer is saved with your order.
Cookies and Similar Technologies
We and our service providers use cookies, pixels, local storage, and similar technologies to keep the store working, remember carts and preferences, support checkout and chat, prevent fraud, measure traffic, and evaluate advertising. Essential technologies are required for core store functions. Where required, you can accept or decline non-essential technologies through the website’s cookie controls. You can also control cookies through your browser, although disabling essential cookies may prevent cart, login, checkout, or support features from working correctly.
Email and Marketing Communications
We use email service providers to send transactional messages about orders, shipping, delivery, refunds, accounts, and customer service. If you subscribe or otherwise consent, we may also send product updates, cart reminders, promotions, or review follow-ups. You may unsubscribe from marketing email using the link in the message or by contacting us. Transactional messages needed to service an order or account may continue.
How We Share Information
We disclose personal information only when reasonably needed to operate the business, including to ecommerce and hosting providers, payment processors, warehouses, carriers, email and messaging providers, analytics and advertising services, fraud-prevention and security providers, professional advisers, and government authorities when legally required. Service providers may use information only as permitted by their contracts, applicable law, and their own privacy obligations.
We may also disclose information in connection with a merger, financing, sale, restructuring, or transfer of all or part of the business, subject to appropriate safeguards.
Sale, Sharing, and Advertising Choices
We do not sell personal information for money. Analytics and advertising technologies may be treated as “sharing,” targeted advertising, or a similar regulated activity under some privacy laws. Where applicable, you may use our cookie controls, your browser or device privacy settings, Google advertising controls, or contact us to request an available opt-out.
Data Retention
We keep information only for as long as reasonably needed for orders, customer service, warranties, returns, fraud prevention, security, accounting, tax, legal compliance, dispute resolution, and legitimate business operations. Retention periods vary by the type of information and applicable requirements. We delete or de-identify information when it is no longer reasonably needed, unless we are required to retain it.
International Processing
Our service providers and business operations may process information in the United States, China, and other countries. Privacy laws in those locations may differ from those where you live. Where required, we use reasonable contractual or operational safeguards for cross-border processing.
Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information. No website, transmission, or storage system is completely secure, so we cannot guarantee absolute security. You are responsible for protecting your account password and notifying us if you believe your account or order information has been misused.
Your Privacy Choices and Rights
Depending on where you live, you may have rights to request access, correction, deletion, restriction, portability, or information about our use of personal information, and to opt out of certain marketing, sharing, or targeted advertising. We may need to verify your identity before completing a request. Some information must be retained for orders, fraud prevention, accounting, tax, legal, or security reasons. We will not discriminate against you for exercising an applicable privacy right.
To submit a privacy request, email zero2025321@gmail.com. Please describe the request and the email address or order information needed for verification. Do not send passwords or payment card details.
Children’s Privacy
The website is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Purchases must be made by an adult or by a person with the authorization required where they live. If you believe a child has provided personal information, contact us so we can review and delete it when appropriate.
Third-Party Websites and Services
Our website may link to Amazon, WhatsApp, payment providers, carriers, social networks, and other third-party services. Their privacy practices are governed by their own policies. KOHUDIS is not responsible for the privacy practices of websites or services we do not control.
Changes to This Policy
We may update this Privacy Policy to reflect changes in our services, providers, legal obligations, or business practices. The “Last updated” date shows the latest revision. Material changes will be posted on this page and, when required, communicated through an additional notice.
